Are DVSA happy with me keeping calibration records online in an electronic format?

QUICK ANSWER Yes
The DVSA are happy for you to keep your calibration records in a digital format, as long as they are readily retrievable when requested.

According to the MOT Testing Guide (Appendix 2, Section 5):

“Calibration records may be retained digitally or as a hardcopy.”

This means you are not required to store physical copies of your calibration certificates, provided you can access and present them when needed.
What does “readily retrievable” mean?
In practice, this means you must be able to:
  • Access your calibration records quickly during a DVSA site visit
  • Provide copies without delay when requested by a Vehicle Examiner (VE)
  • Show records covering the required time period
If your records are stored digitally but are difficult to access, incomplete, or missing, this could still be an issue during an inspection.
