Introduction
Equipment and calibration records in MOT Juice are visible to multiple users within your business, depending on their role and where they sit within your account structure. This ensures that everyone who needs access to this information, from testers on the workshop floor to senior management, can view it when required.
MOT Juice is designed as a hierarchical Quality Management System (QMS), meaning access is organised in clear levels across your business.
Understanding the MOT Juice hierarchy
Your account is structured as follows:
Client (the business as a whole)
Garage/Site (individual MOT testing stations)
Testers (users carrying out MOT tests)
How this works
- A single Client can have multiple garages/sites
- Each garage/site can have multiple testers
- Users are assigned to a specific level, which determines what they can see
Who can access equipment and calibration records?
TestersAll testers assigned to a garage can view:
- Equipment records
- Calibration history
- Calibration documents
Garage/Site-level users
Users such as:
- Garage Managers
- Site Managers
- Aftersales Managers
This allows them to:
- Monitor calibration status
- Ensure equipment is compliant
- Prepare for inspections
- Add new equipment
- Decommission old equipment
- Input calibration records/data
- Upload documents/certificates related to equipment (calibration certificates, equipment manuals, calibrator information)
Users with client-level access, such as:
- Senior Managers
- Directors
- Business Owners
This provides:
- Full visibility across multiple locations
- Centralised oversight of compliance
- The ability to monitor performance and readiness across the organisation
What this means in practice
Because of this structure:
- A tester will only see records for their assigned site
- A site manager will see everything for their specific garage
- A director or owner can see all sites and all equipment
- Everyone has access to the information they need
- Data is not restricted unnecessarily
- Management can maintain oversight without disrupting site-level operations
Why this level of access is important
Sharing equipment and calibration records across your team helps you:
- Maintain compliance with MOT requirements
- Ensure equipment is ready for use at all times
- Prepare for DVSA inspections without delays
- Improve communication between testers and management
- Avoid duplicated effort or missing information
Security and control
While access is shared, it is still controlled:
- Users can only see data relevant to their assigned garage or role
- Sensitive actions (such as decommissioning equipment) require confirmation steps
- Access levels can be managed by administrators within your business
Helpful tip
Make sure all users are assigned to the correct garage and given the appropriate role. This ensures they can access the equipment and calibration records they need, without unnecessary restrictions or gaps in visibility.
